This policy explains how Distinctive Country Furniture Limited collects and uses personal information when you visit this website, contact us about a project or commission work from our Somerset workshop. It also sets out your rights and how to use them.

Information we collect
When you make an enquiry
Our enquiry forms ask for your name, email address, telephone number (optional) and a description of your project. The form also records the page you sent it from. If you email, telephone or write to us, we keep a record of the conversation and anything you send with it.
Project enquiries often include details of a property, such as its address, age or listed status, along with photographs, plans or drawings. Please share whatever helps us understand the work; there is no need to send more than that at an early stage.
When you commission work
To price, survey, draw, make and install a commission, we keep:
- your contact and billing details;
- the address of the property and any access arrangements;
- survey measurements, site photographs and drawings;
- quotations, correspondence, invoices and payment records.
When you visit this website
Our hosting provider automatically records technical information each time a page is requested, including your IP address, browser and device type, the page requested, the page you came from and the date and time. We use this to deliver the site, keep it secure and investigate faults.
If you agree, we also use analytics and advertising cookies to understand how the site is used and how well our adverts work. Our Cookie Policy explains these in detail.
Architects, designers and suppliers
When we work with architects, interior designers, contractors and suppliers, we keep their business contact details and our project correspondence.
How we use your information
UK data protection law allows us to use personal information only where we have a lawful basis for doing so. We use it:
- To reply to your enquiry and prepare a guide price. We do this at your request before any contract is in place. Where you contact us on behalf of a client or business, we rely on our legitimate interest in responding to professional enquiries.
- To survey, design, make, install and invoice your commission. This is necessary to perform our contract with you.
- To keep accounting and tax records. This is a legal obligation.
- To run and protect this website. This is in our legitimate interest in operating a secure and reliable site.
- To measure how the site is used and how our adverts perform, and to show our adverts to people who have visited this site. We do this only with your consent, which you can withdraw at any time.
- To photograph completed work for our portfolio and website. We do this only with your agreement, and we will not name you or identify your property without your permission.
- To correspond with architects, designers, contractors and suppliers about shared projects. This is in our legitimate interest in carrying out the work properly.
You do not have to give us personal information, but we cannot reply to an enquiry without a way to contact you, and we need the details listed above to carry out a commission.
We do not sell personal information. We do not send marketing emails or keep a mailing list, and we do not make decisions about you by automated means.
Who we share it with
We share personal information only where it is needed for the purposes above:
- Service providers that act on our instructions: our website host (Amazon Web Services); Formspree, which receives the enquiry form and emails it to us; HubSpot, where we keep enquiry and customer records and manage our email correspondence; our email and IT providers; and our accountants.
- Google, which provides the analytics and advertising tools described in our Cookie Policy (used only with your consent) and the map on our contact page.
- Others working on your project, such as your architect, interior designer or main contractor, where you have asked us to work with them.
- Professional advisers and authorities, such as our insurers, legal advisers or HMRC, where this is necessary or required by law.
Transfers outside the UK
Some of our service providers, including Google, Amazon Web Services, Formspree and HubSpot, may process information outside the UK. Where they do, the transfer is protected by safeguards recognised under UK data protection law, such as adequacy regulations or the international data transfer agreement and addendum issued by the Information Commissioner’s Office. Formspree is based in the United States and keeps form submissions for 30 days.
How long we keep it
- Enquiries that do not lead to a commission: for two years after our last contact, as projects in period buildings can take time to go ahead. We then delete them.
- Commission records: for six years after the work is completed. We keep drawings and specifications for up to 15 years, so that we can answer later questions about the work or make matching pieces if you ask us to.
- Accounting and tax records: for six years from the end of the financial year they relate to, as the law requires.
- Website logs: for a short period, for security and fault-finding.
- Analytics data: for no longer than 14 months in Google Analytics.
- Portfolio photographs: until you ask us to stop using them.
Your rights
You have the right to:
- ask for a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete your information;
- ask us to restrict how we use your information, or object to our using it;
- ask us to transfer information you have given us to another organisation;
- withdraw your consent at any time, where we rely on it.
Some of these rights depend on the reason we hold the information, and the law may require us to keep certain records, such as invoices. To use any of these rights, email office@dcflimited.co.uk or write to us at the workshop. We may need to confirm your identity before we act. We will normally respond within one month, and there is usually no charge.
Complaints
If you are unhappy with how we have handled your information, please contact us first so that we can try to put it right. We will acknowledge your complaint within 30 days and let you know the outcome.
You can also complain to the Information Commissioner’s Office, the UK data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
